How do you handle out-of-state Notary certificates? By Kelle Clarke

When presented with a notarial certificate from another state, a Notary should carefully check the "venue" section to ensure it accurately reflects the state and county where the notarization is taking place
if the pre-filled information is incorrect, the Notary should cross it out and write in the correct location, always initialing any changes made to the certificate.
Key points to remember:

  • Follow your state laws:
    Even when notarizing an out-of-state document, a Notary must always adhere to the laws of their own state of commission. 

    Verify the venue:
  • The most important aspect to check is the "venue" section, which indicates the state and county where the notarization occurs. 

    Correcting errors:
  • If the venue is incorrect, simply cross out the wrong information and write in the correct details, then initial the change. 

    Consult your state agency:
  • Contact your state's notary regulatory agency for guidance if you are unsure about handling a specific out-of-state certificate.
